WAREHOUSE OFFICER, KENYA

 

Job summary: The Warehouse Officer will direct all aspects of procurement management functions including implementing purchase plan. S/he will also be responsible for managing the Warehouse Staff and facilities and ensuring that safety is always observed and warehouse well secured. S/he will check and inspect all goods received/issued for quality and specification as per bill of loading/packing list/waybills/invoice/store requisition and ensure proper recording. 

 

Expected Results

  1. Performance of Warehouse Staff is to the expected AAHI standards and security of the facilities is secure and safe.
  2. All goods received/issued are checked for quantity and specification as per bill of loading/packing list/waybills/invoice/stores requisition and are properly recorded.
  3. Regular Inventory conducted to ascertain the correctness of stock with records at any point in time and for damages where needed.
  4. Award and manage the contract during the post-award period by monitoring completion timelines and approved contracted budget, ensuring key performance indicators are documented and tracked. 
  5. Prepare medium complex Procurement Plans and propose a Procurement Strategy and issue tenders and contracts for goods, equipment and services. 
  6. Lead the procurement committee members and ensure that different options and outcomes are considered. 
  7. Keep abreast of best practices and makes recommendations for continuous process and policy improvements

 

Professional qualifications

  1. University degree in Supply chain management/Business Administration or equivalent.
  2. Minimum 5 years’ professional experience in supply chain management or comparable role.

FINANCE AND ADMINISTRATION MANAGER, DJIBOUTI

 

Purpose of the role: Oversee the overall financial functions of the AAH-I - Djibouti and ensure all financial and admin processes are functioning effectively and efficiently. S/he will plan, execute and evaluate all activities of financial management of various projects’ financial and accounting processes and be responsible for creating, reviewing, updating and enforcing compliance of the projects’ financial/administrative policies and procedures. 

 

Expected Outcomes

  1. Financial expenditure is in compliance with Donor contract requirements.
  2. Complete and accurate PASTEL data and reports.
  3. Cash flow forecasts, statements and bank reconciliations available on a monthly basis.
  4. Local payroll is prepared and implemented by 20th of every month.
  5. Assets are properly tagged, and an up to date asset register and inventory available at all times.
  6. Audit recommendations are followed through to closure.
  7. Timely planning of donor audits are done in less than 30 days after the end of the audit period.
  8. Timely preparation and implementation of payments.
  9. Accurate and up to date Finance files.
  10. Staff imprests and advances are properly registered and recovered as per the Finance Manual.
  11. Banking and bank reconciliations done on time
  12. Carry out any other related responsibility assigned by the Country Programme Manager and support other activities as required by the AAH-I Djibouti programme management. 

 

Professional qualifications

  1. Bachelor’s degree in Commerce, Finance or Business Administration. 
  2. Master’s in Business Accounting, Commerce or Finance, will be an added advantage
  3. Valid professional qualification from a certified institution.
  4. Must be able to work competently in French and in English.

 

Minimum relevant experience required

  1. Minimum 8 years’ experience in similar position preferably in an INGO.
  2. Experience managing/working in an administration and procurement function
  3. Previous work experience in a field location for an INGO will be an added advantage.
